Company Vehicles Driving Policy Template
A company vehicles driving policy template setting out the commitment to training drivers and maintaining company vehicles correctly, for every employee who drives a vehicle on company business.
The policy has Approved By and Date Approved fields and carries a Public information classification, so it can be shared with workers, clients and other interested parties.
What the Company Vehicles Driving Policy Covers
- Allocation - company cars allocated in writing with the relevant documentation, subject to the employee's contract
- Declarations - driving licence, a signed declaration of offences and medical conditions, and consent for licence checks
- Handovers - mileage, condition and damage recorded when a vehicle passes to another employee
- Permitted use - company cars not used for financial gain, and pool cars for company business only
- Theft, loss and damage - reported to the police and the manager, with a written report
- Maintenance - a visual check before each journey, and training for company car drivers
- Safe driving - no alcohol, drugs or impairing medication, speed limits and road traffic laws, eyesight, vulnerable road users, loads and driving hours
- Preventing fatigue - a break of at least 15 minutes every 2 hours
- Mobile devices - no hand-held use while driving, installed phones, and hands-free rules
- Incident reporting - reporting every accident or incident, and what to do at the scene
Two Versions Supplied
The main policy refers to official driving guidance and the driving licence authority without naming them. P-63 Company Vehicles Driving Policy (V2) names the Highway Code and the DVLA and adds a legislation section, for organisations in the UK that want the references spelled out.
